What the report must show

What a TR19 Grease post-clean report has to show

BESA's guidance sets out what a post-clean verification report should include:

  • Before and after photographs, taken from the same positions
  • Grease deposit readings, from a wet film thickness test or a deposit thickness test
  • A written summary of the work done
  • Notes on access limits, and any areas not reached
  • A hygiene certificate with the date, the location and the name of the technician

200 microns

Grease deposits should stay below this mean between cleans.

500 microns

Any area at or above this needs attention straight away.

In the field, reports rarely fall down on site. They fall down in the office afterwards: a report heavy with photographs is too big to email, spare pages are deleted by hand, and the certificate is made separately in another system. That office work is what the software takes away.

Start to finish

How the report gets made

On site

The engineer records readings and photographs on the phone, at each access point.

Report and certificate

Both are produced automatically, with your firm's own logo and a clear result line.

Office review

The office checks the report and sends it to the client.

Invoice

A draft invoice is raised in Xero from the job, so nobody types it twice.

Next clean

The next due date appears in the planner at the right interval.

Certified. Scheduled. Paid.

Most software in this trade asks you to book a call before you see anything. We show you everything up front.

  • Sample report - 14 pages: readings before and after at each location, graded from Very Dirty to Clean, photographs from nine locations, a schematic and a completion checklist
  • Sample certificate - your logo, the mean deposit after cleaning, pass or fail, the next clean date and a reference anyone can quote. Explained in our guide to TR19 Grease certificate software
  • Live demo - three guided tours: booking a job, adding a new site, and moving your records across

A typical before and after

From four apps to one job on the phone

Before

  • A two-person firm run mainly from the owner's phone
  • A form app, a separate website for certificates, Xero and a scanner app
  • Reports of around 48MB, shrunk by hand before they could be emailed
  • 10 to 15 minutes of admin a job

After

  • The report, the certificate and the invoice come out of one job on the phone
  • No re-typing between apps
  • The next clean already in the planner

Questions

Questions firms ask

Can I put my own logo on the certificate?

Yes. The certificate carries your firm's logo, not ours.

We are on Flow Mobile. Can we move across?

Yes. Import from Flow brings your clients, sites and cleaning dates across from your own export. See switching from Flow Mobile.

Does it send invoices to Xero?

Yes. From the sent job, the office raises a draft invoice in your own Xero.

How many users can we have?

As many as you need. The price is £90 a month flat, whatever the size of the team.

Is it approved by BESA?

No. TR19 Grease is BESA's specification, and the software produces reports laid out to follow it. Smart Solutions is not affiliated with BESA and is not endorsed by it.

Is our data kept separate from other firms?

Yes. Every firm gets its own database, set up for that firm alone. No database is shared, so your clients, sites, reports and photographs never sit alongside another firm's records.
